Getting Reviews (Requests)
Strategies and tools to collect more customer reviews
3.1 How to Gather Reviews
Your Goal: Share Your Review Link with All Clients
Your aim is to share your review link with all of your clients. This way, each client lands on your review link page, where they can provide either private feedback or a public review on your integrated platforms. There are multiple ways to accomplish this goal, and we'll explore each method in detail.
The Review Link Page Experience
When customers click your review link, they arrive at a page designed to capture their feedback in the most appropriate way. Whether they have something great to say publicly or concerns to share privately, your review link page handles it all intelligently.
3.2 Manual Link Sharing
The Simplest Method
The first method to obtain reviews via your link is by manually sending it to your clients. This is perfect for personal, one-on-one interactions where you want to request a review from a specific customer immediately.
How to Share Manually
By clicking the link button, you'll open your review link page. Simply copy the link and manually send it to your clients through whatever communication method you prefer - text message, email, chat apps, or even social media direct messages.
When to Use Manual Sharing
This method works best right after providing excellent service when the experience is fresh in the customer's mind. It's personal, immediate, and perfect for situations where you've had a particularly positive interaction with a customer.
3.3 Kiosk Mode and QR Codes
Collecting Reviews In-Person
Another effective option for collecting reviews through the review link is by utilizing the kiosk mode. This transforms a tablet or device in your business into a dedicated review collection station.
Setting Up Kiosk Mode
Click the kiosk button to open the page, and then display it in your local business, perhaps using a tablet. Position it at your checkout counter, reception desk, or anywhere customers naturally pause during their visit.
The QR Code Solution
After a purchase experience, your clients can scan the QR code displayed on the screen to access your review link page and provide either private feedback or a public review. This removes any friction from the review process - customers don't need to type anything or search for your business.
Downloading and Using QR Codes
You can download the QR code via the download button to create custom graphics with it. Use this QR code on receipts, table tents, business cards, signage, or any printed materials. Place it anywhere customers will see it while their experience is still fresh.
Benefits of Physical Display
Having a physical QR code or kiosk in your location captures reviews at the perfect moment - right when customers have just experienced your service and are most willing to share their thoughts.
3.4 Quick Requests
Sending Individual Review Requests
Quick requests allow you to send review requests to individual customers quickly and easily. This is perfect for when you want to reach out to specific clients who just had a great experience.
How to Send a Quick Request
Navigate to the reviews section and click on quick request. You'll see options for how to send the request - you can choose between SMS, email, or WhatsApp depending on what works best for your customer.
Entering Customer Information
After selecting your preferred channel, like SMS, click next. Then, enter your client's contact details, including their name and phone number. The personalization makes the request feel genuine rather than automated.
Adding Multiple Recipients
You can also add multiple clients by clicking the "add client" button. This is helpful when you want to send requests to several people who were together, like a group dining experience or a family that received your service.
Finalizing the Request
Select the appropriate consent option and click next. Then customize the message text you'll send to your client. The review link is always automatically included in the message, so customers can click directly through to leave their review.
Immediate Delivery
Once you click send, your customer will receive the review request on their phone immediately. This method combines the personal touch of manual requests with the convenience of automated messaging.
3.5 Mass Review Campaigns
Building Your Contact List
Another powerful method for sending review requests is through mass campaigns. This allows you to reach many customers at once, making it perfect for regular review collection. First, you need to add your contacts to the system.
Adding Contacts
Head over to the request section and go to contacts. Here, you need to add your contacts. Click on the add contact button to enter each contact's name, last name, email, and phone number individually.
Bulk Contact Import
If you have a large list, you can upload it using a CSV file. Download the example CSV provided and fill it with first names, last names, phone numbers, or emails. You only need either an email or a phone number to add contacts, making the process flexible.
Creating Message Templates
Once you've added your contacts, you can create templates for your review requests. You may want templates for different situations - perhaps one professional template and one more casual template depending on your relationship with customers.
Managing Templates
For instance, you might have already created some templates for SMS and email. By clicking on the preview button, you can view previously created templates to see how they look before sending.
Creating New Templates
To create a new template, click on new template and assign it a name that helps you remember its purpose, such as "professional template" or "casual follow-up". Choose the channel you want to use - email, SMS, or WhatsApp. Then customize the message content to match your brand voice and click create.
Setting Up a Campaign
With templates ready, it's time to send a campaign. Click on campaigns to see your past campaigns listed. To initiate a new campaign, click on new campaign and select a descriptive name based on when you're sending it, like "end of July" if you're sending review requests at the end of that month.
Choosing Campaign Settings
Click next and choose the channel for your review request - for example, SMS. Then select the list of contacts you want to reach out to. You can choose all contacts or just those who haven't yet received a review request.
Smart Contact Filtering
The "not contacted" list is typically what you'll use most often. You might add new contacts weekly and then send review requests at week's end to those who haven't been contacted yet. This prevents bothering customers with duplicate requests.
Selecting Templates and Scheduling
Click next and choose the template for your review request, perhaps the professional one you created earlier. Then decide if you want to send immediately or schedule the campaign for a specific day and time, like Friday at 4 PM.
Campaign Preview and Launch
Click next to see a final preview of your campaign. This shows you the channel being used, the message text, the scheduled date, and the contact list. Review everything carefully to ensure it's correct.
Sending Your Campaign
Finally, click send. Your contacts in the selected list - those who haven't yet received a review request - will get your SMS review request on the scheduled date and time. The system handles everything automatically from there.
